Privacy Statement
This page briefly explains which personal data INKOM collects, how we use it and your rights.
What data do we collect?
We only collect data required for this website to function: optional analytics and marketing cookies (only with your consent) and push notification subscriptions (only after explicit browser consent).
Cookies and consent
On your first visit we ask for consent for non-essential cookies via a banner. You can change your choice at any time via the footer settings. Consent is stored for a maximum of 12 months; after that we ask again.
Unsubscribing from push notifications
You can disable push notifications via your browser or device notification settings. Your subscription is then automatically removed on the next request.
Page feedback and retention
On content pages you can anonymously let us know whether a page was helpful. The thumbs rating contains no personal data and is kept anonymised indefinitely to help us improve the site. An optional free-text comment is kept for a maximum of 12 months and then automatically removed. We set no cookies for this; we use a daily-rotating session hash that cannot be traced back to you.
Data removal
We store push subscriptions for a maximum of one year. For questions or early unsubscription, please email the address listed in the footer.
Signing up as a volunteer
If you sign up as a volunteer through the application form, we ask for your name and e-mail address — those are required. Your phone number, study and year, and a motivation are optional; fill them in only if you want to. We use this data to review your application and place you in a role and a team. The INKOM organisation receives the data. Inside our system it sits behind a login: only logged-in administrators can see it. Two things happen outside that system, and we want to be upfront about them. First, the volunteer coordination team receives an internal e-mail for every application, containing your name, the position you applied for and the language you filled in the form in; we deliberately keep your phone number, study and motivation out of that e-mail. Such an e-mail stays in the coordination team’s mailbox, even after your application has disappeared from the system. Second, administrators can export the applications to a file in order to plan the assignments; such a file contains the same data as the system, is only used within the INKOM organisation, and from the moment it is downloaded it falls outside the automatic clean-up described below — so it exists until somebody deletes it. The checkbox on the form confirms that you have read this text; we process your data because it is necessary to handle your application, not as a separate consent you could withdraw on its own without that affecting your application. We keep an application for at most one year after the date you applied if it has been dealt with (placed or rejected), and for at most two years after the date you applied while it is still open (new or responded to). Want to access your data, have it corrected, or have it removed sooner? Send an e-mail to the address listed in the footer; we will then also clean up the internal e-mail and the export files that contain your data.
